About the Position: The Sales Operations Coordinator supports our fast-paced sales team and plays a pivotal role in ensuring the smooth functioning of the sales process. RKON sells a wide variety of IT infrastructure that includes cloud, security, Microsoft licensing, cloud applications, physical appliances (firewalls, switches, routers, access points), and more. The person in this role will build quotes for our sales team, lead the procurement/purchasing of sales orders, track shipments, liaison between our sales team and clients, and participate in shipping and logistical needs of the organization. This position works in a team-oriented, cross-departmental environment. The candidate must build and maintain effective working relationships both internally and externally. Responsibilities:

  • Generate accurate and timely quotations for IT and technology products and services based on customer requirements and pricing guidelines.

  • Coordinate with RKON sales team to understand customer needs and provide customized quotes as necessary.

  • Maintain a repository of pricing information, product specifications, and discount structures to ensure consistency and competitiveness in quotes.

  • Collaborate with internal Sales Operations team to source IT and technology products from vendors and suppliers at competitive prices.

  • Manage purchase orders, including creation, modification, and tracking, to ensure timely delivery of products to customers.

  • Work closely with vendors to negotiate pricing, terms, and delivery schedules, optimizing cost savings and efficiency.

  • Provide support to the sales team by addressing inquiries related to quotations, pricing, and product availability.

  • Coordinate with cross-functional teams, including sales, marketing, finance, and operations, to resolve customer issues and ensure a seamless sales process.

  • Identify opportunities to streamline and automate quoting and purchasing processes to improve efficiency and accuracy.

  • Develop and maintain documentation for standard operating procedures related to quoting and purchasing activities.

  • Collect and analyze data related to sales quotations, purchase orders, and pricing trends to identify insights and opportunities for improvement.

  • Conduct quality checks on quotations and purchase orders to ensure accuracy, completeness, and adherence to customer specifications.

  • Participates in special projects and performs other duties as assigned.

    Ideal Candidate Profile:

  • Bachelor's degree in a relevant field: information technology, business, supply chain, finance, or relevant work experience.

  • 2+ years’ experience in technology procurement and contract administration/management; experience purchasing software and cloud services, a plus.

  • Expertise in the IT supplier market: major suppliers, trends, threats/cyber security, terms, etc.

  • Knowledge of IT Solutions licensing such as like Microsoft, MS Dynamics, preferred.

  • Hands-on expertise developing and implementing programs for cost reduction, vendor relationship management, asset tagging and tracking, supplier performance management, and well-versed in all stages of IT procurement.

  • Strong MS Office (Word/Excel/Outlook) skills, including data analytics.

  • Analytical mindset with the ability to interpret data and make data-driven decisions.

  • Must be energetic, self-motivated, and work well in a team environment with the ability to operate independently.

  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities in a fast-paced environment.

  • Adapts and thrives in a fast-paced environment; periodically reevaluates processes for business process improvement and modernization.

  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with cross-functional teams.

  • Demonstrated ability to identify and resolve complex issues, effectively and with minimal supervision.

  • Operates with a high level of professionalism and integrity, including dealing with confidential information.

  • Experience with using ConnectWise or NetSuite, a plus.
