PROJECT CLEAN SLATE

EXECUTIVE ADMINISTRATIVE ASSISTANT

We are in search of a professional with experience in executive administrative assistant / office manager duties , particularly in a legal setting . This is an exciting time in the City of Detroit as we work to rebuild one of the most beautiful cities in the country.

An initiative of the City of Detroit, Project Clean Slate helps residents seek expungement of their criminal records to gain access to employment, housing, and educational opportunities.

Location: Butzel Family Recreation Center

Days: Monday - Friday

Examples of Duties

This role is responsible for supporting Project Clean Slate ’s Executive Director.

  • General support of Executive Director

  • Tracking program metrics

  • Assist ing with public - facing initiatives

  • Drafting grant proposals

  • Preparing agendas for weekly team meetings

  • Managing weekly team meetings

  • Processing court check requests and invoices

  • Supply procurement

  • Volunteer coordination

    Reviews correspondence and determines the appropriate method for routing.

  • Answers and responds to r outine correspondence.

  • Drafts replies to non-routine correspondence, subject to the review and approval by Executive Director .

  • Serves as liaison between Executive Director and departmental staff, other City departments , and external agencies.

  • Schedules appointments and maintains appointment calendar for Executive Director.

  • Records and transcribes important or confidential material .

  • Attends meetings with Executive Director and makes notes/records of the meetings.

  • Assists staff by providing information about procedures, practices , and policies in division ,

  • Develops and revises the format of forms to facilitate workflow .

  • Supervises sm all group of clerical employees , evaluates work performance, and administers discipline.

  • Instructs and trains employees on new procedures and/or operations.

Minimum Qualifications

Qualifications / Certifications:

  • High school Diploma or GED; preferably some college courses in secretarial science or business administration.

  • 10+ years of experience as executive administrative assistant / office manager in the legal field that demonstrates the ability to handle important office duties.

Equivalency

  • Equivalent combinations of education and experience that provide the required knowledge, skills, and abilities will be evaluated on an individual basis.

  • Familiarity with court pro cedures

  • Notary (preferred)

  • Passion - must be self-motivated, have initiative, and have a positive personality.

  • Program Specialties - specific experience in law - related fields is required.

Physical Demands

  • The employee is frequently required to stand, walk and reach with hands and arms.

Work Environment

  • Work is performed in a professional office environment.

  • The employee routinely uses standard office equipment such as laptop computers, smartphones, photocopiers and filing cabinets.

RETIREMENT BENEFITS

City Employees Retirement System

As a regular City employee you automatically become a member of the General Retirement System. This entitles you to a retirement allowance after:

• Completion of thirty (30) years of service;

  • At age sixty (60) if you have at least ten (10) years of service, or

  • At age sixty-five (65) with eight (8) years of service.

• In the event of disability, other eligibility rules apply);

  • An early, actuarially reduced, retirement is offered after you have attained at least twenty-five (25) years of service;

• Employees are vested after ten (10) years of service, regardless of age.
