Position Overview:

SLAC’s Facilities and Operations Division manages one of the world’s premier science facilities on a 400-acre Stanford site with 150+ structures for the Department of Energy. We are a service organization committed to the support and success of the Laboratory's Scientific Mission by providing safe and responsive engineering, construction, operations and maintenance of equipment, buildings, and infrastructure.

We are seeking a Site Logistics Coordinator for SLAC’s Space and Logistics Management department. This position would be reporting to the Sr. Manager of Space and Logistics. The Space and Logistics Department is responsible for space, logistics, and transition to operations at SLAC, inclusive of space standards/policy, space master planning, and logistics planning. The department collaborates with Projects, Operations, and Science Directorates. Space and Logistics. Collaborates with Stanford University, the Lab’s Director’s Office, SLAC’s Office of Strategic Planning, and SLAC Campus Planning. This position reports to the Sr Manager of Space and Logistics.

Your specific responsibilities include:

  • Maintaining clear egress and travel paths across the site

  • Deconflicting space needs for projects outside of their allocated space

  • Coordinating operational moves across the site

  • Coordinating/collaborating with downtime planning to deconflict the Site component of scheduled work

  • Performing field management of site to ensure safe working conditions. This can include:

  • Onboarding and managing vendors to provide traffic control

  • Providing traffic control

  • Construction Management

  • Signage management

  • Ensure vendor/contractors/staff are compliant with SLAC requirements inclusive of site access, work planning and control, and ES&H requirements

  • Overseeing control of hazardous energy (CoHE) work and ensuring compliant execution

  • Planning of site work through tools such as GIS, AutoCAD/Bluebeam, etc.

  • Interfacing with stake holders and project professionals to establish operational requirements and ensure their successful completion

  • Transition to Operations (TTO) support for projects inclusive of:

  • Collating construction documents and submittals and review for completeness

  • Ensuring sign off/acceptance that Project Requirements are met by stakeholders.

  • Ensuring sign off/acceptance that Project Requirements are met by building management.

  • Warranty acceptance

  • Asset field inventory and upload of assets into the computerized maintenance management system

  • Punchlist walkthroughs of projects

  • Support of site commissioning (led by engineering)

  • Support of the general needs of Space and Logistics Management

  • Support of initiative across Space Management’s parent organization Facilities Management and Planning, inclusive of:

  • Assistance in successful Service Contracts execution of work

  • Support of Building and Facilities Management initiatives

  • Project development and coordination to support Campus Planning and Asset Management

  • Operational project management for work performed by the trades (F&O Operations)

  • Perform field inspections and quality assurance of construction projects.

  • Identify and evaluate potential new observed hazards and implement controls as project's scope of work changes; ensure work is authorized and released in accordance with approved guidelines and processes prior to commencing work activity.

  • Implement internal controls and provide recommendations for process improvements. Oversee and conduct review of job safety analyses, as required.

  • Lead and/or participate in planning review meetings to keep Downtime Planning, Operations and Projects deconflicted on site needs.

  • Monitor the work of subcontractors. Document and report all contractor deficiencies

  • Oversee and manage vendors, engaged in facilities management or building/equipment maintenance. Participate in department/unit strategic management.

  • Clarify and resolve problems spanning multiple areas or technical fields and/or oversee or develop programs within assigned facilities.

  • Participate in department/unit strategic management, including making recommendations involving short-term planning for facility-type projects and for longer-range programs/projects; provide input into the development of policies and procedures; interpret and manage policies and procedures for assigned area.

  • Oversee and/or monitor project activities; ensure integration with larger unit goals; coordinate with staff, subcontractors, and/or vendors.

  • Integrate with Project Management to ensure conflicts with other projects and lab operations are minimized

  • Along with Downtime Planning serve as Liaison (either directly or through delegation to subordinates) between Projects and Operations/Mission Directorates as TTO Manager.

  • Cross train with the other Facility specialists on the team for cross coverage

To be successful in this position you will bring:

  • Experience in construction and construction management.

  • Experience planning, directing, and coordinating activity on construction sites.

  • Demonstrated ability to read and comprehend construction documents, including plans, specifications, contracts, regulatory requirements, Request for Information (RFI), Critical Path Method (CPM) schedules etc.

  • Working knowledge of testing, special inspection, permitting, Request for Information (RFI), submittals, change order, and scheduling policies and procedures associated with construction contracts.

  • Excellent written and verbal communication skills.

  • Strong presentation skills.

  • Demonstrated competency in computer operation including Microsoft Office suites including MS Project Schedule, Visio, Word, Excel, PowerPoint, Outlook, and SharePoint.

  • Knowledge of environmental and safety rules, regulations, and policies.

  • Ability to conduct job site inspections to ensure compliance.

  • Demonstrated ability to work and communicate effectively with others.

  • Demonstrated experience managing service contracts.

  • Ability to interpret planning specifications, documents, working drawings, and related reports.

The expected pay range for this position is $88,000 - $124,000 per annum. SLAC National Accelerator Laboratory/Stanford University provides pay ranges representing its good faith estimate of what the university reasonably expects to pay for a position. The pay offered to a selected candidate will be determined based on factors such as (but not limited to) the scope and responsibilities of the position, the qualifications of the selected candidate, departmental budget availability, internal equity, geographic location and external market pay for comparable jobs.
