Job Description
JOB SUMMARY
Administers internal fiscal services, purchasing, and office administration.
MINIMUM QUALIFICATIONS
Bachelor’s degree from an accredited college or university in Accounting, Public Administration, Business Administration, or other closely related field, plus one (1) year of related experience; OR an equivalent combination of related education and experience.
Preference may be given for experience in fiscal administration that includes accounting responsibilities and program and systems implementation and monitoring.
ESSENTIAL FUNCTIONS

Oversees purchasing functions and reviews and prepares expenditures. Processes purchase requests. Prepares bank deposits, fund transfer forms and cash balance sheets; maintains records of all deposits.
Oversees office administration.
Performs Payroll and HR Coordinator functions for the Mayor’s Portfolio.
Coordinates and maintains the County’s supplier/vendor records and provides training as needed.
Manages, and provides administrative coordination and support for the County’s Trip Reduction program.
Acts as fixed and controlled asset/inventory record manager. Administers the maintenance of fixed asset and controlled asset inventories.
Prepares financial reports for the director and management team to aid in planning, decision making and monitoring.
Advises project managers regarding capital project contract payments; schedules and makes those payments.
Initiates and prepares journal entries for the transfer of funds between various Division and County budgets; and verifies that journal vouchers have been posted in the County’s accounting system.
Monitors contracts with outside vendors and service providers; ensures annual vendor contracts are in place in accordance with County policy; maintains file of Contract Vendors.
Identifies fiscal problems, gathers information, prepares reports and makes recommendations.
Completes special assignments and projects as requested.
Prepares and verifies travel requests, and answers travel related questions.
Attends monthly Department Fiscal manager meetings and County-wide fiscal manager trainings.
