Description

We are offering an opportunity for an Administrative Assistant in San Francisco, California, focused on supporting the administrative duties for a child development department. This role is pivotal in maintaining smooth operations within the department, with responsibilities ranging from monitoring program performance to assisting in various administrative tasks. This position offers a short term contract employment opportunity.

Responsibilities:

• Facilitate and support the monitoring and administration of the program based on relevant laws, guidelines, and policies.

• Sustain timely and effective communication with all program staff to ensure optimal program performance.

• Assist in organizing the Child Development Policies and Procedures.

• Provide administrative support across different centers as required.

• Maintain a welcoming, safe, healthy, nurturing, and culturally relevant center environment for all children and families.

• Monitor and ensure the availability of supplies, equipment, and maintenance needs for the Child Development department or center.

• Draft written documentation for a center or program.

• Support the Program Director and Program Coordinator with department-wide projects.

• Manage the planning and submission of purchase orders for the center.

• Assist in the reconciliation and submittal of invoices and Child Development expenditures as required.

• Perform data entry tasks using various databases and ensure accuracy and timely completion.

• Guarantee timely and accurate filing of documentation at the site.

• Organize translation of forms, procedures, and other documents for staff and families as needed for the center.

• Participate in ongoing professional development activities as required by the program.

• Provide support in the classroom and during field trips as required.

• Aid Child Development Department managers in administrative duties as needed.

Skills:

• Proven experience in Administrative Assistance

• Proficient in Data Entry

• Capable of managing Email Correspondence

• Proficiency in Microsoft Excel and Microsoft Word

Requirements

• Experience in an Administrative Assistant role or similar position

• Proficient in using Microsoft Excel and Microsoft Word

• Strong data entry skills with attention to detail and accuracy

• Excellent written and verbal communication skills for email correspondence

• Ability to multitask and prioritize tasks efficiently

• Strong organizational and planning skills

• Ability to work independently and as part of a team

• Good problem-solving skills and ability to make decisions independently

• High level of discretion for handling confidential information

• Time management skills with the ability to meet deadlines

• Ability to adapt to changes in the work environment
