Robert Half Receptionist in San Jose, California

Description We are offering a role based in San Jose, California for an individual adept at performing administrative tasks within the accounting industry. This role involves providing high-level support to our team, managing client communications, and handling receptionist duties.

Responsibilities:

• Provide high-level support to staff personnel and partners, ensuring smooth operations within the firm.

• Prepare, review, and dispatch client correspondence as requested, maintaining clear and effective communication.

• Assemble and review final tax returns and financial statement packages before delivering them to clients, ensuring accuracy and completeness.

• Handle the intake of tax documents and complete new client setups according to firm protocol, ensuring efficient onboarding of clients.

• Organize, scan, and securely file client documents following firm protocol, ensuring easy accessibility and confidentiality.

• Manage bulk mailing of yearly organizers, ensuring timely dispatch and receipt.

• Process checks and credit card payments over the phone, ensuring prompt and accurate transaction handling.

• Perform receptionist duties such as answering and transferring calls on a multi-line phone system, greeting and assisting visitors professionally, and scheduling client appointments as necessary.

• Maintain the professional appearance of office common areas, ensuring a conducive working environment.

• Order office supplies as needed, ensuring the availability of necessary resources.

• Perform additional duties as assigned, demonstrating flexibility and adaptability. Requirements • Proficiency in QuickBooks is essential

• Prior experience in Administrative Assistance required

• Familiarity with Lacerte Tax Software greatly desired

• Experience with Sage Accounting Software would be advantageous

• Proficiency in Peachtree Accounting Software needed

• Ability to handle Individual Tax Return tasks

• Experience working in Tax Season preferred

• Familiarity with Receptionist Duties is necessary

• Excellent Email Communications skills required

• Proven ability in Scheduling tasks is essential
